Refund & Cancellation Policy

Statutory Fee Refund Guidelines, Admission Cancellation & Transaction Settlement Framework

Bankura Christian College is committed to ensuring transparency and fairness in matters relating to admission cancellation and refund of fees. This Refund and Cancellation Policy governs the refund of admission fees and other payments made to the College through online or offline modes.

ℹ️ All fee remittances, deductions, and cancellation requests strictly conform to statutory UGC norms and Government of West Bengal directives.

1. General Policy

  • All fees paid to the College are subject to the rules and regulations of the College, the University concerned, the Government of West Bengal, the University Grants Commission (UGC), and other applicable statutory authorities.
  • No refund shall be made for any error, omission, incorrect information, or mistake committed by the applicant during the admission process, including but not limited to:
    • Incorrect entry of personal details.
    • Selection of wrong course or subject.
    • Submission of incomplete or inaccurate information.
    • Failure to satisfy prescribed eligibility criteria.
  • Applicants are strongly advised to verify all academic and personal details carefully before initiating any fee payment.

2. Duplicate Payments

  • In the event that a candidate makes payment more than once for the same purpose due to technical server lags or inadvertent error, the candidate may apply for a refund of the excess amount.
  • Requests for refund of duplicate payments must be submitted to the College Office along with:
    • Proof of duplicate transaction payment(s);
    • Official admission receipt;
    • Valid bank account details of the applicant.
  • Such reconciliation requests shall be considered only after the formal completion of the institutional admission process.
  • The decision of the College Authority regarding the verification and refund of duplicate payments shall be final and binding.

3. Adjustment of Fees

Where a candidate is allotted a different subject or programme in a subsequent merit list, any amount already deposited may be adjusted against the fees payable for the newly allotted subject or programme, subject to the administrative rules of the College.

4. Cancellation of Admission

  • Students seeking cancellation of admission must submit a formal written application in person at the College Office.
  • The application must be mandatorily accompanied by:
    • Original admission receipt;
    • A self-attested copy of the first page of the student's bank passbook clearly showing account and IFSC details;
    • Original Higher Secondary (H.S.) / Equivalent Mark Sheet for verification.
  • Applications submitted without the required verification documents shall not be processed.
  • The College reserves the right to seek additional identity or academic documents wherever necessary for administrative verification.

5. Refund on Cancellation of Admission

  • Refund of admission fees upon cancellation shall be strictly governed by the latest guidelines, regulations, and notifications issued by the University Grants Commission (UGC) and competent statutory authorities from time to time.
  • Refund eligibility and the actual amount refundable shall depend on:
    • The date of formal cancellation application submission;
    • The active stage of the ongoing admission process;
    • The provisions and deduction slabs of the applicable UGC Refund Policy.
  • Any processing charges, administrative overheads, or permitted deductions under prevailing UGC regulations may be deducted prior to disbursement.
  • Refunds, where admissible, shall be credited solely through electronic bank transfer (NEFT/RTGS) to the bank account furnished by the applicant.

6. Processing Time

  • Refund requests shall be processed only after complete physical and financial verification by the College Accounts Department.
  • The time required for processing and crediting the refund may vary depending upon institutional auditing procedures and inter-bank clearing cycles.
  • The College shall not be held responsible for settlement delays caused by incorrect IFSC/account details submitted by applicants or technical factors beyond institutional control.

7. Final Authority

The Principal and the competent College Authority shall hold the final authority in all matters relating to admission cancellation, fee adjustments, and disbursements. Any legal or administrative dispute arising in connection with refunds shall remain subject to the exclusive jurisdiction and regulatory framework of the College and designated statutory authorities.

8. Policy Updates

Bankura Christian College reserves the right to amend, modify, or update this Refund and Cancellation Policy at any time in accordance with revisions in statutory regulations, UGC guidelines, Department of Higher Education directives, or institutional requirements. Any revised policy shall become effective immediately upon its publication on the official College website.
